Service Coordinator

THIS IS AN ONSITE POSITION, NOT HYBRID OR REMOTE. ONLY CANDIDATES LOCATED NEAR CHADDS FORD, PA WILL BE CONSIDERED. THANK YOU.

Position Summary:

As a Client Team Coordinator, you will be responsible for managing new work orders from inception to completion. This role requires you to dispatch work orders, provide accurate scopes to vendors, and ensure that all projects are kept on track. You will communicate frequently with clients and vendors to provide updates and ensure that client expectations and key performance indicators (KPIs) are met.

Daily Responsibilities:

Processing Work Orders:

  • Handle new work order requests from start to finish, including inputting details into NetSuite, searching for and contacting vendors, setting up services, and following up to ensure job completion.

Vendor Management:

  • Assist with vendor search if needed and ensure communication with vendors is professional and clear.
  • Ensure vendors comply with work order and billing requirements.

Client Communication:

  • Provide frequent updates to external clients and Management, ensuring professional communication and prompt responses to inquiries.
  • Use appropriate verbiage for client communication, such as "We are looking into it," "circling back with our vendor," etc.

System Utilization:

  • Work with external 3rd party systems such as ServiceChannel, Corrigo, FEXA, FM Pilot, etc.

Performance Monitoring:

  • Review dashboards throughout the day and ensure company goals such as GM, Volume, etc., are met.
  • Review accounting exceptions and resolve them promptly.

Cost Structure Verification:

  • Confirm the basic cost structure of work orders, including but not limited to doors, locks, and docks.

Managing Clients:

  • Monitor emails for client communication and respond based on information available in the work order. Reach out to vendors if additional information is needed.

Opportunity Management:

  • Acknowledge new opportunities via email, vet work orders for accuracy, assign to a vendor, and provide necessary details for job completion.

Quote Review and Submission:

  • Review vendor quotes for errors or discrepancies, discuss issues with vendors or Management, and submit quotes to the client within set parameters (up to $2k).

Emergency Management:

  • Ensure emergency and urgent tickets are handled correctly and in a timely manner.

Company Expectations:

  • Volunteer for after-hours or weekend shifts to support the team as needed.

Team Collaboration:

  • Assist teammates by covering for other Client Team Coordinators during breaks or absences.
  • Work collaboratively across teams to ensure work orders are processed correctly and efficiently.

Job Type: Full-time

Pay: $35,000.00 - $60,000.00 per year

Technician

Locations: West Springfield, MA, Syracuse, NY, and Chesterland, OH
 

The Technician is a critical role responsible for the service and installation of industrial docks, overhead doors, locks, and related equipment, including some residential work. This independent and dynamic position suits a highly motivated individual with strong technical and mechanical skills. As the face of the company, the Technician engages directly with customers on-site and via phone, embodying the company's commitment to quality service and customer satisfaction.

  • Complete all work orders accurately and legibly to ensure proper billing and record-keeping.
  • Engage in welding tasks, operate above ground on ladders or man lifts up to 20 feet, and handle equipment installation and repair as per specifications.
  • Utilize smartphones or tablets for job tracking and reporting, ensuring all hours and parts used are recorded accurately.
  • Troubleshoot repairs effectively and make necessary corrections using a variety of hand tools and power tools.
  • Capture before-and-after photos of work performed, identify potential upsell opportunities, and communicate additional deficiencies to customers.
  • Collaborate with team members and follow directions from various leaders within the company.
  • Drive company vehicle as required and maintain professional interaction with customers and team members.

Business Development Manager, Key Accounts

Position Summary:

Dynamic Facility Services is seeking a motivated and experienced Business Development Manager for Key Accounts. The ideal candidate will be responsible for quoting, selling, and promoting commercial door equipment and services, with a focus on achieving complete customer satisfaction. This role includes promoting the DFS National Service programs and requires a thorough understanding of the assigned business market. The position reports to the Vice President of Sales & Marketing and involves extensive travel (75%).

Job Description

  • Execute and promote sales calls, architectural and design consultations.
  • Estimate, follow-up on proposals, negotiate contracts, and quote accurately and timely.
  • Promote service PM programs to current and prospective customers.

Operations and Coordination:

  • Assist in ordering materials for sold jobs and submit forecasts and reports timely and legibly.
  • Call on service providers and distributors supporting key account business.
  • Canvass the designated market through in-person visits, e-mail, social media, and telephone.

Product and Industry Knowledge:

  • Possess a complete understanding of product knowledge, including commercial door and dock space.
  • Stay informed about changing codes, related trades, products, and procedures.
  • Understand door hardware and electric door hardware, the install process, and work in the field with Installation and Service Technicians.

Customer and Market Engagement:

  • Conduct site visits, measure dimensions, coordinate trades, and attend job meetings as required.
  • Handle customer complaints and understand competition pricing, strengths, and weaknesses.
  • Entertain key customers within corporate guidelines and join professional associations.

Administrative and Compliance:

  • Communicate project details to branch operations effectively.
  • Participate in National Sales or Regional Sales Conferences/updates.
  • Maintain a clean and presentable vehicle and follow safety protocols to prevent accidents.

Pay: $75,000.00 - $95,000.00 per year
